Gmail Follow-Up
The Gmail Follow-Up Workflow for Founders and Operators
Track relationship momentum, not just reminders.
A useful Gmail follow-up workflow does not start with “reply to everything.” It starts with deciding which conversations still have momentum and which timing windows are closing.
The four buckets
| Bucket | Meaning | Action |
|---|---|---|
| Window Closing | Silence is starting to change the relationship | Act now |
| Needs You | Someone is likely waiting on a reply or next step | Reply or close loop |
| Changed | The thread shifted since last review | Inspect the change |
| In Orbit | Monitored, no action needed | Leave alone |
The daily scan
- Scan for waiting-on-you threads.
- Check whether any deal, intro, customer, or candidate thread crossed a timing threshold.
- Look for changed threads: new replies after silence, their move to your move, warm to cooling.
- Draft only the replies that matter.
The Friday review
On Friday, do not just summarize the week. Ask which conversations are still open, which promises need a close-the-loop reply, and which timing windows should not wait until Monday.
Automating the radar
Sidekick Log turns this workflow into a Gmail radar: it surfaces who is waiting, what changed, and what needs a next mission.
